Position Summary

Essential Functions

  • Works directly with the Executive Director in association with the Development Director and Marketing Assistant to execute and manage the annual fundraising auction, including recruiting sponsors.
  • Upholds active and positive relationships with a variety of outside organizations and sponsors in conjunction with the Development Director.
  • Aligns event goals with the broader, strategic fundraising goals and mission of the organization, ensuring events are fully maximized for the fundraising and sponsorship potential.
  • Negotiates contracts, discounts and in-kind contributions with event vendors.
  • Works with the Executive and Development Teams to create and monitor budgets and prepares comprehensive analysis of events, live and silent auction performance, raise the paddle contributions, etc.
  • Works with the Communications Team to develop promotional materials, videos, branding advertising, and digital strategy for events.
  • Serves as on-site point of contact during the event and provides training to staff and volunteers as needed.
  • Completes post-event wrap-up including evaluation of all event elements, recommendations for improvement, donor reports and acknowledgements, and reconciliation of budget and vendor payments.
  • Works with development and financial staff to ensure accurate financial coding and gift acknowledgement.
  • Inventory and supply management: take detailed inventory of supplies and assist in ordering/procuring supplies needed.
  • Data entry: record information about guests, vendors, donors, and volunteers in donor database (training provided).
  • Raffle procurement and organization: request in-kind donations from local businesses for raffle items. Develop a plan to track and organize donations for the event. 
  • Lead team of volunteers and staff at the event, along with day-of setup, technology management, overseeing activity and troubleshooting, as well as tear down.

Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel. As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

Position Requirements

Knowledge & Skills

  • Excellent administrative, oral and written communications.
  • Comfortable interacting with the public in person and on the phone.
  • Able to ask people and businesses for donations with proactive follow-up (donations, participation, etc.)
  • Maintain attention to detail.
  • Ability to work both independently and collaboratively in a team environment

Experience

  • Experience in event planning and events management required (non-profit experience a plus.)
  • Experience with databases helpful
  • Experience in auction procurement a plus

Fundraising Responsibilities

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA. These activities will include—but are not limited to— extending invitations to fund raising events, recruiting personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.
